Why Most Complaint Letters Don't Work
The most common mistakes Nigerian students and professionals make when writing complaint letters:
Too apologetic. Phrases like "I'm sorry to bother you" or "I hope this isn't too much trouble" immediately weaken your position. You are not bothering anyone — you are asserting a right.
Too emotional. Anger is valid, but "you people are useless and I will sue you" gets filed in the bin. Formal complaints work when they are factual, not personal.
Too vague. "The service was bad" gives the recipient nothing to act on. Dates, amounts, reference numbers, and specific incidents are what move things forward.
No clear demand. Many complaint letters describe a problem but never state what resolution they want. Always end with a specific ask and a deadline.
The Structure That Works
Every effective formal complaint letter follows this pattern:
Reference line — State the subject clearly at the top. "Re: Unresolved Plumbing Fault — Unit 4B, 15 Adeola Street" tells the reader exactly what this is before they read a word.
Opening statement — State your purpose directly. "I am writing to formally notify you of an unresolved matter requiring your immediate attention." No apology, no small talk.
The facts — What happened, when it happened, and what evidence you have. Keep this chronological and specific.
Prior attempts — List any previous communications with dates. This shows you've been reasonable and establishes a record.
Your demand — State clearly what you want and by when. "I hereby request full resolution of this matter within 14 days of this letter."
Consequence — What you'll do if ignored. "Should this remain unresolved, I reserve the right to escalate to the relevant regulatory authority." This doesn't have to be aggressive — it just needs to exist.
